Help Shape the Future of Friends of PreSchool Family

Friends of PreSchool Family (FoPSF) relies on dedicated board members to support early education and community-building. We’re looking for passionate individuals to join us in guiding our mission.

Positions & Duties

  • These are general duties that apply to all board positions.

    • Attend quarterly board meetings (avg. 3-hrs/meeting)

      • May 18, 2025 | Transition of board positions/members, AY25-26 Planning

      • August 2025 | Fall Planning Meeting (Fun Day, etc)

      • November/December 2025 | Spring Planning Meeting

      • March 2026 | New Board Elections

      • May 2026 | Transition of board positions/members, School Year Planning

    • Work with my fellow board members toward the achievement of the organization’s goals

    • Actively participate in community building and fundraising efforts by…

      • Host/Co-hosting a fun party or active participation in other fundraising activities

      • Planning community events

      • Serving on a committee (Auction, Fun Day, Spring Campaign, etc.)

    • Lead/Assist with projects as needed

    • Promote events & activities

    • Recruit for volunteers as needed

  • 2-year term - Serve as VP for the first year, then President for the second year.

    • Ensure the organization’s activities are compliant and in furtherance of its mission

    • Lead, manage, and develop the organization’s volunteers, and organizational culture

    • Develop, implement, monitor, and assess the organization’s programs (including their impact)

    • Develop, implement, monitor, and assess sound and compliant financial management and fundraising practices (including budgeting)

    • Support the board and the board committees to carry out their governance functions

    • Ensure the Board’s directives, policies, and resolutions are carried out

    • Ensure effective external communications about the organization and its mission, priorities, importance, programs, and activities

    • Keep informed and the organization’s leadership informed of significant developments and changes in the internal and external environment

    • Lead the organization’s planning processes

    • Ensure legal compliance (including all required filings) and sound risk management practices:

    • Statement of Information must be filed by the President by March 31st of odd numbered years (2025, 2027, 2029, etc)

  • 2-year term

    • Record/distribute board meeting minutes

    • Ensure all documents are organized/securely stored

    • Maintain accurate documentation to meet legal requirements

    • Manage the board calendar (including filing deadlines)

    • Manage various account access for board members (Google Workspace, Zeffy, etc.)

    • Update/Manage the board directory

  • 2-year term

    • Provide oversight of the organization’s fiscal integrity and ensure the financial health of the organization for the board. 

    • Develop, implement, and manage financial procedures and systems including bookkeeping, reimbursements, and purchase orders.

    • File legal/tax documents with the IRS/State Franchise Tax Board/Office of Attorney General:

      • IRS - Form 990N (Deadline: 11/15)

      • CA Franchise - Form 199N (Deadline: 11/15)

      • CA Registry of Charities - Form RRF-1 (Deadline: 11/15)

      • CA Registry of Charities - Form CT-TR-1 (Deadline 11/15)

    • Work with the President to ensure that appropriate financial reports are made available to the Board

    • Active participation in fundraising activities by providing financial updates and reports as needed, and managing raised funds.

    • Assist the President in preparing the annual budget, and presenting the budget to the Board for approval

    • Advise the board in regards to auditing procedures and, if applicable, to meet with the auditor in conjunction with the Finance and/or Audit Committees

    • Recruit community members to host/co-host fun parties

    • Collaborate with board members & community members to create and schedule fun parties that align with the interests of the community and fundraising goal

    • Generate promotional content & materials for all fun parties

    • Implement and manage the sign up/payment process for each fun party

    • Communicate with hosts and fun party participants to ensure a successful fun party

    • Collaborate with PSF teachers/staff, board members, and community members to plan/execute Fun Day

    • Recruit and manage volunteers for Fun Day

    • Schedule/lead committee meetings as needed

    • Manage the budget for Fun Day

    • Research, secure, and communicate/manage vendors for Fun Day

    • Generate promotional content & materials for Fun Day

    • Oversee all logistics and activities to ensure a successful Fun Day, including setup & cleanup

    • Collaborate with PSF teachers/staff, board members, and community members to plan/execute the auction

    • Create a plan to meet fundraising goals

    • Outreach to various vendors/businesses for auction items

    • Recruit and manage volunteers for the auction

    • Schedule/lead committee meetings as needed

    • Manage the budget for the auction

    • Create and manage the auction site

    • Generate promotional content & materials for the auction

    • Oversee all logistics and activities to ensure a successful auction

    • Create a giving campaign/fundraising plan to meet fundraising goal

    • Recruit/manage volunteers and schedule/lead committee meetings as needed

    • Manage the budget for Giving Campaign/fundraising

    • Generate promotional content & materials for the Giving Campaign/Fundraising

    • Oversee all logistics and execution of the Spring Campaign/fundraising activity
